12 — The scanner app

What it is

SCAN TOGETHER is the app your door staff use to check people in. It runs in the phone's browser. There's nothing to download from an app store.

Open it at checkin.cometogether.lol on an iPhone (Safari) or Android phone (Chrome). Add it to the home screen for a full-screen app.


Before doors open

  1. Sign in with the same email and password your team member uses for COME TOGETHER. If they have two-step verification on, they'll be asked for the code.
  2. Pick your event. Only events they're allowed to work are listed.
  3. Pick the entrance they're working.
  4. Run through the checks. The app registers the phone for your event, tests the camera, and downloads a secure offline copy of your guest list. Wait until each check is green. While the phone has signal, the offline copy keeps itself up to date through the night, including tickets sold after doors open.
  5. Start scanning.

Do this before the queue forms. It takes a minute, and the offline copy is what keeps the door moving if signal drops later.

Each phone must be registered for your event before it can check anyone in. The app does it during these checks. A phone that hasn't done it can't scan.


Scanning

Point the camera at the QR code. The screen fills with the answer, with a sound and a colour, and stays until staff tap or swipe it away. Each QR is read once per scan, so holding it in front of the camera won't check someone in twice.

If a ticket comes with perks, a checklist appears. Tick each item as it's handed over.

Finding someone without a QR

Use Search to find a guest by name or order number and check them in from there.


When the signal is bad

If the app can't get an answer from the server, it shows Connection uncertain. It won't show green or red when it doesn't know. Staff can:

  • Try again, which is safe: the same scan is never counted twice, or
  • Admit using emergency mode, if the offline copy is ready. The app checks the ticket against the copy on the phone and saves the check-in. It's uploaded automatically when the signal comes back.

Emergency mode is always a deliberate choice, never automatic. It can't see check-ins made on other phones while offline, so a copied ticket could get in twice. Anything like that is flagged for a supervisor once the phones reconnect.


Staying signed in

Staff stay signed in for up to 18 hours, long enough for setup, the event, and pack-down. After that they're asked to sign in again.

Sign out at the end of the night. Signing out removes your guest list from the phone. If any check-ins haven't uploaded yet, the app warns first so nothing is lost by accident.


Keeping the app up to date

When there's a new version, the app offers to update. Accept it between guests, not mid-scan.


Good to know

Keep the phone's own screen lock on. The offline guest list is removed when staff sign out and expires on its own, but the phone's lock is its first protection.

Several phones can scan the same event at once. Every scan is checked against every other phone's, so a ticket used at one entrance shows as Already checked in at another straight away. The checked in count on each phone catches up with the other phones' check-ins within about 15 seconds.

The app keeps the screen awake while scanning, on phones that allow it.

If the camera won't start, the app says why, for example blocked permission or another app using the camera, and what to change.
